Job description

As an Administration Specialist, you will be responsible for ensuring the highest quality along with the smooth workflow of ongoing tasks in our office in Cracow, supporting employees both US and Poland, and closely working with Andea’s executive team. We are looking for a student to support us in the office from Monday to Friday during office hours (9:00-17:00)

Requirements and Qualifications

  • At least one year of experience on a similar position

  • Excellent administrative, planning, and organizational skills with the ability to work under pressure and to tight deadlines

  • Excellent knowledge of MS Office

  • Accuracy and high level of attention to detail in every aspect of work

  • Highly client service and quality-oriented mindset

  • Proactive and “can-do” attitude

  • Excellent social skills; communicative and able to work in a team

  • Professional approach to work, strong sense of responsibility and reliability

  • High personal culture

  • Excellent written and oral skills in Polish

  • Very good knowledge of English (B2/C1)

Duties and Responsibilities

  • Ensuring the smooth and efficient daily operation of the office, including administrative support, ordering office supplies, and cooperating with building management.

  • Providing the highest standard of support as the first point of contact for Management and Andea Personnel.

  • Preparing, updating, and maintaining company documents (vendor contracts, company policies, procedures)

  • Overseeing the accurate and timely circulation of documents across the organization.

  • Coordinating the collection, dispatch, and tracking of mail and courier shipments.

  • Identifying administrative issues and resolving them effectively to maintain seamless office operations.

  • Maintaining close day-to-day cooperation with internal departments such as HR, Finance, and others.

  • Organizing and coordinating internal events and initiatives.

  • Arranging meetings with clients and supporting the logistics.

  • Building positive relationships and ensuring effective communication with colleagues and team members
